Under UK data protection law, we must have a lawful basis for using personal information. Depending on the situation, we may rely on one or more of the following lawful bases:

  • Contract: where we need to use your information to provide tutoring services, process bookings, manage payments or take steps before entering into an agreement with you.

  • Legal obligation: where we need to keep certain records for tax, accounting, employment, safeguarding or regulatory purposes.

  • Legitimate interests: where we use information to run and improve our tutoring business, respond to enquiries, manage relationships with students, parents/carers and tutors, keep appropriate records, and protect our business, provided your rights and interests do not override this.

  • Vital interests: in rare cases, where we need to use or share information to protect someone’s life or safety.

Where we process special category data, such as information about health, disability or specific learning needs, we will only do so where we have an additional legal condition, such as explicit consent, safeguarding reasons, or where it is necessary to provide appropriate support.

6. The information of children

As a tutoring service, we may collect and use information about children and young people. We take extra care when handling children’s personal information and only collect what we need to provide safe, appropriate and effective educational support.

Where a student is under 18, we will usually communicate with a parent or carer about bookings, payments and key service matters. We may also keep notes about a student’s progress, learning needs and lesson content so that tutoring can be tailored properly.

We will not knowingly collect unnecessary information from children, and we will not use children’s personal information for inappropriate marketing or profiling.

8. International transfers

Some of the online tools, platforms or cloud services we use may process information outside the UK. Where this happens, we will take reasonable steps to ensure that appropriate safeguards are in place, such as standard contractual clauses or other lawful transfer mechanisms.
